Key Responsibilities
Under the supervision of the Human Resources Director and those delegated by her, the HR Assistant’s main responsibility will be to assist the Human Resources Department in supporting the daily activities of the department and ensuring effective delivery of services. More specifically :
Assist the HR Officer with monthly payroll related activities such as collection of timesheets and pay slips monitoring and liaising with labour consultants when required
Support the HR team in organizing the JRS internal learning and development activities (e.g. internal language courses)
Assist the HR Officers with recruitment and selection activities including formatting, circulation and posting of vacancy announcements, monitoring the receipt of applications, carrying out pre-screenings, preparation of documentation, and logistic arrangements for selection panels
Collect, analyse, and screen spontaneous applications, organizing and building an internal JRS roster
Support the HR Officer in staff on-boarding activities including liaising with departments and following up on activities
Support with internships, volunteer and young professional programmes, fostering partnerships with Universities and other Institutions (e.g. EU Solidarity Corps)
Work closely with the HR and IT team to support the development and implementation of HRIMS, testing developments with user groups and where necessary create user guides, communication plans and other associated materials for roll-out
Assist the HR Officer, Field Support with the roll-out and implementation of projects addressed to field offices and preparing strategic communications accordingly
Provide support to special projects (e.g. Global Demographic Survey, Insurance Plans) and activities including conducting information search as requested
Manage the JRS Career Page as well as related social networks
Assist in preparing correspondence, documentation, reports, and presentations and perform other tasks requested by supervisor, as appropriate
Qualification and Competencies
University degree or specialization in Human Resources Administration, Business Administration or related field
A minimum of 2 years of experience in a similar role, or internship experience within JRS
Proficiency in English and Italian, both verbal and written
Working Knowledge of Microsoft Office 365
Strong interpersonal skills and the ability to work in a multi-cultural, international, professional environment
High sense of discretion in dealing with confidential matter at all times
Desirable :
Working knowledge of French, Spanish and / or other languages
Previous working experience with faith-based organisations is an asset
Understanding of and commitment to humanitarian relief work and international humanitarian standards

Please note that this position is only open to candidates who possess EU citizenship or other legal authorization to work in the European Union.
Successful candidates will be offered a regular contract under Italian law.
