We’re looking for a Customs & Document Coordinator

The Opportunity :

Reporting to the Senior CSM or ROM, this position requires considerable attention to detail, strong organizational skills and a competency in standard IT systems & programs.

The candidate should enjoy administrative work (including, but not limited to copying and filing) and be able to work unsupervised in a busy and demanding environment.

Although primarily administrative, the candidate must also be able to liaise directly with customers, sub-contractors and government officials where necessary.

In this role you’ll :
  • For Pre-Sale
  • For Pre-Sale
  • Record / process all received documents into salesite, titles, etc
  • Amend any document discrepancies with relevant authorities
  • File (digital, or hardcopy) all documents
  • Conduct / request lien searches where required
  • Maintain a register of missing documents and communicate to relevant stakeholders
  • Maintain a balance sheet for duty reconciliations
  • Liaise with customs brokers, freight forwarders, local transport companies, etc
  • Respond to customer enquiries
  • At Auction Day
  • Assist customers with registrations and inquiries
  • For Post-Sale
  • Ensure post-sale documents are ready for buyers to collect
  • Prepare release documentation in accordance with local requirements
  • Liaise with customs brokers, freight forwarders, local transport companies, etc
  • Monitor, record and file all outgoing documentation
  • Assist customers with title discrepancies
  • Administer and record buyer, consignor and local authority refunds
  • Respond to customer enquiries
  • Oversee all local customs / tax audits
