Role Summary :

The primary responsibility of this role will be to ensure the smooth and efficient administrative support to a Senior Executive Leader.

In this role you will follow an individual work plan, meet day-to-day short-term objectives and resolve issues through immediate action or short-

term planning. It is an exciting opportunity for someone who is self-motivated and comfortable using technology and operating at senior levels in an organization.

Essential Responsibilities :

  • Providing administrative and organizational support including but not limited to :
  • Prioritize conflicting needs; handle matters expeditiously; proactively engage on and see projects through to successful completion within strict deadlines
  • Plan, schedule, and arrange business meetings and travel itineraries; prepare and reconcile expense accounts
  • Process T&L expenses in accordance with GE guidelines and assist in managing expense accounts and budgets
  • Edit presentations, reports, spreadsheets, take meeting minutes, and support misc business reviews
  • Prepare, evaluate, and edit incoming and outgoing communications for multiple executive
  • Planning employee lunch and learns, trainings, etc
  • Direct business contacts to appropriate managers
  • Coordinate onsite and offsite business meeting and events
  • Manage conference / huddle rooms and common office area
  • Raising and receiving purchases orders
  • Providing administrative and organizational support including but not limited to :
  • Booking travel and managing expenses
  • Diary and meeting management
  • Organize all team and associated employee events and meetings
  • Raising and receiving purchases orders
  • Managing multiple projects and priorities and initiating follow up to ensure timely achievement of commitments
  • Creating presentations for internal use
  • Co-ordinating meeting schedules for global visitors or new starters
  • Assist with passport and visa requirements
  • Qualifications / Requirements :

  • Ability to maintain high level of integrity and confidentiality
  • Experience supporting executive level leadership
  • Ability to deal with ambiguity and work autonomously
  • Strong verbal and written communication skills and ability to draft clear and concise communications
  • Bachelor's degree required and a minimum of 5 years of administrative experience in a corporate environment supporting executives.
  • Excellent interpersonal skills, leadership skills and teamwork
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat and Social Media web platforms.
  • Fluent in use of GE online applications and systems including Skype, Yammer, GETRes, Concur, and interfacing with senior management and high profile external contacts
  • EU Work permit
  • Fluent in English and Italian
