As a member of the Universal Pictures Italy Consumer Products team, reporting to the Director, Italy Consumer Products and supporting the Italy team, the role is responsible for the following :
Maintaining databases, spreadsheets and tracking documents liaising internally and externally where required
Assisting with planning and arranging meetings, trade fairs, partner days
Ad hoc projects and tasks as required
Creating and setting up new vendor accounts, raise purchase orders (using SAP) and coding invoices for payment, following through as required to ensure timely payment
Organizing travel and accommodation arrangements for the department
Keeping Log and tracking expenses
Facilities duties, arranging couriers & post as needed
Providing general office administration, order stationary, supplies and equipment for department as needed
Distributing licensee lists, brand presentations and other sales materials where required
Assisting Italy consumer products team by creating research documents and undertaking competitor analysis
Regularly liaising with International consumer products teams to collate and track relevant info
Assist in the preparation of targeted pitch presentations for potential licensees, partners and retailers
Qualifications / Requirements
Excellent administration skills coupled with the ability to balance and prioritize work coming in across the team
Strong interpersonal and communication (verbal and written) skills
Self-starter with the ability to work independently as well as collaboratively within a team
Proactive and solution focused with high attention to detail
Demonstrable ability to research and source ad hoc information independently
Strong PC skills with Intermediate to advanced knowledge of Word, Excel and PowerPoint
